Process

Keep the decisions visible. This sample workflow shows what is discussed, what is produced and what needs agreement before the next stage.

  1. Establish the brief

Describe the people, activities and constraints. Separate essential needs from preferences, and record what remains unknown.

Decision: agree what the space must support and what information is missing.

  2. Test the possibilities

Compare layout options against the brief. Discuss circulation, furniture, access and the relationship between public and quieter areas.

Decision: choose a direction and write down why it fits.

  3. Develop the detail

Bring materials, lighting and technical coordination into the chosen layout. Review the design with the relevant specialists.

Decision: agree the developed proposal and responsibilities for the next stage.

  4. Record the handover

Issue the agreed information with a clear revision date and a list of outstanding decisions. Confirm what is and is not included.

Decision: establish the next appointment, approvals or construction information required.

A revision is part of the record.

In the Open Room study, a change to the reception position also changes the route through the exhibition. The text comparison shows the brief evolving in plain language.

Before starting

What should I have ready?

A short description of the space, its intended use, any existing drawings or photographs, the project location and the next decision you need to make.

Does a concept include technical approvals?

Only if the written scope expressly includes them. The appointment should identify the professionals and information required for your particular site.

How are changes handled?

Record the requested change, its reason and any effect on scope, fees or timing. Agree changes before additional work begins.
