Make the structure
do some of the work.
A clear document helps the reader find the next useful thing. This sample method puts purpose, sequence and verification ahead of surface polish.
Start with a real task
Describe the action the reader needs to take. “Understand the archive” is broad; “find the approved brief” gives the draft a useful destination.
Agree what readers already know and what needs an explanation. Keep necessary context close to the instruction.
Separate facts from questions
Use the source material to build an outline. Mark gaps clearly, and attach each question to the relevant passage.
The subject owner confirms accuracy. The writer makes the explanation and the path through it easier to use.
Review in one place
Keep a single working draft. Consolidate feedback before revision so different instructions can be resolved deliberately.
At handover, identify the final file and any open items. Agree separately who will maintain the document when the underlying process changes.
