Sample business — fictional demonstration

Ask early.
Plan clearly.

These sample answers help start a venue conversation. Replace them with the arrangements that apply to your business.

Before you enquire

What information helps with an initial enquiry?

Share your preferred date range, expected group size and event format. Include the time needed for setup, the program and pack-down, along with any access needs.

Can we visit the venue first?

Sample: viewing arrangements, available times and who will meet the organizer. A visit is a useful time to check arrival routes, equipment and room layout.

How do we confirm access arrangements?

Ask for current, specific information about routes, entrances, toilets and seating. Share the needs relevant to your gathering and confirm the arrangements directly. This demonstration does not claim any particular access provision.

Shaping the day

Can the room layout change between sessions?

Sample: the layouts you offer and who handles a reset. Allow enough time in the program and confirm which furniture, storage and staffing are included.

Can we bring food, equipment or outside suppliers?

Sample: the venue’s actual supplier and catering arrangements. Give the venue details of what you intend to bring, including delivery, setup and collection times.

Does the planning board book sessions?

No. It compares times in a fictional sample schedule on your device. It does not register attendees, check room availability or send any data.

Confirming arrangements

What is included in the hire price?

Sample: hire rates and inclusions. Check room access times, equipment, staffing, refreshments and any extra charges in a written proposal.

What if our plans change?

Sample: verified change and cancellation terms. Share any changes with the venue promptly and ask for written confirmation of revised arrangements.

Still working out the details?

A clear outline is enough to start. Use the enquiry checklist to gather the essentials.
