Every handover needs a name.
A practical sequence for developing an event outline. Adapt the timings and responsibilities to the real venue.
Start with the people
Your first enquiry
Describe the format, preferred date, estimated audience and any access requirements. Keep personal guest information out of the initial message.
The planning conversation
Review the room, schedule, technical requirements and supplier responsibilities. Ask what is included before comparing prices.
The written agreement
Check the dates, access times, scope, payment terms and cancellation terms. A conversation alone is not a confirmed booking.
The final production sheet
Share one current running order, named contacts and a version date. Agree who can approve changes on the day.
A sample running order
Illustrative sequence only. Replace with the agreed times for your event.

Keep the next step small
Send your preferred date and a short outline. Leave room in the plan for questions about access, equipment and the audience experience.
